What the report must show
Every defect found at the handover inspection, with enough detail that the contractor can find it and fix it without calling you, and the owner can check it later.
- the title block, with the unit, client, date and your registration number;
- a summary with the counts by severity;
- the actions, numbered and sorted by severity;
- every finding with its photo, location, observation, severity and action;
- your signature.
Locations that a contractor can find
Use level, room and grid in the same order every time: GF · Corridor · DB-1. Name rooms as the drawings name them, and say which wall when it matters.
English and Arabic
In the UAE the owner may read Arabic while the contractor reads English. A bilingual report puts both side by side in each finding, so nobody works from a translation of a translation. Check each language before you sign it.
Measurements, not adjectives
"Large crack" starts an argument. "Crack approx. 400 mm long" does not. If you did not measure, say so and measure on the next visit; never estimate on paper.
After the fixes
Do not edit a signed report. After re-inspection, issue a new revision that records what was closed and what remains, so the trail from Rev 00 to the final handover is complete.
